QR Code Ordering: Table Service vs Order Ahead

Two products share the name: order-at-table and order-before-you-arrive. They solve different problems, break in different ways, and only one suits a café.

Two completely different products are sold under the name "QR code ordering", and most of the confusion in this category comes from nobody separating them. One asks the guest to order from a table inside your venue. The other asks them to order before they arrive. They solve different problems, need different things from your staff, and fail in different ways.

Before you buy either, work out which one you are actually trying to run.

Model one: order at the table

The guest sits down, scans the code on the table, and the order goes straight to the kitchen or the bar with the table number attached. Nobody takes the order. Staff deliver.

It suits a venue where people sit for a while and order more than once — a pub garden, a busy bar, a restaurant with a large terrace where the walk back and forth is the bottleneck. The value is real in those rooms: a table that can order a second round without waiting for eye contact spends more.

What it demands in return is easy to underestimate:

  • Every table needs its own code. One code for the venue does not work — the order has to know where to go.
  • Someone has to watch the screen constantly. The guest is sitting there, and their patience is measured against a waiter who would have come over.
  • Payment has to be sorted. Either you take card online, or you run a tab and reconcile it at the end, which is where the arguments happen.
  • It changes what your staff do. Some of the hospitality goes with it. In a small room where the service is the product, that is a real cost, not a saving.

Model two: order ahead for pickup

The guest orders before they get to you — from the pavement, the office, the bus — and collects a finished order. Nobody sits down. There is no table number, because there is no table.

This is the model that suits coffee, bakeries, juice bars and sandwich shops, and the reason is the queue. Those venues take most of their money in a ninety-minute spike, from people on their way somewhere. The problem there is not that ordering is slow — it is that the line is long enough that some people keep walking.

How to tell which one you need

One question sorts it: where is the money lost?

  • If your tables are full and people wait to be noticed, the loss is inside the room. Look at table ordering.
  • If your counter has a line at 8:30 and you can see people glance at it and carry on walking, the loss is on the pavement. That is order ahead, and no amount of table ordering will touch it.

Venues that try to do both at once, at one site, with one member of staff on the machine, usually do neither well. The screen is the constraint: a ticket that nobody looks at for four minutes is worse than no digital ordering at all, and each model adds tickets.

The QR code itself

Both models live or die on whether anyone scans the thing. Practical rules that hold either way:

  1. One code, many places. For pickup, the same code goes on the counter, the door, the receipt and the Instagram bio. Repetition is what gets it tried.
  2. Say what happens when they scan. "Scan to order ahead — skip the queue" beats a bare code with a QR icon. A code with no promise gets ignored.
  3. Print it big enough and matte. Gloss under a spotlight is unscannable, and a code under a wobbly acrylic stand is worse.
  4. Never point it at an app store. The whole advantage of a QR flow is that it opens in the browser. A download prompt loses most people at the exact moment they were willing.
  5. Test it as a stranger, on cellular. Not on your own phone on the venue Wi-Fi with the page already cached.

What it costs, honestly

The pricing shapes are more important than the numbers, because they age differently:

  • Per-order commission. Scales with your success, forever. A percentage on every ticket is the most expensive shape over a year.
  • Per-terminal or per-table. Fine at one site, unpleasant if you add a terrace.
  • Flat monthly. Predictable, and the only shape that gets cheaper per order as volume grows.

For a single venue the flat fee almost always wins, and the commission model almost always looks cheapest on the day you sign.
